Yellow Warning Icon: How to understand it correctly

There are 02 places that You may see this “Yellow Warning Icon”

  • “Menu” => “Product” => “All Product Listed” => Under “Product Status”

 

  • “Menu” => Inventory => “All Inventory” => Click to Product Name => It shows next to stock quantity

Most of the “Yellow Warning Icon” are due to “Occupied Stock” on SellerCenter.
If you encounter this problem, please go to SellerCenter to check “Occupied Stock” of this listing.

  1. Definition of “Occupied Stock” and “Withholding Stock”

  • Occupied Stock: Order received and now is being processed, this status will not be changed until the item is delivered.

  • Withholding stock: these are orders you find in the “Unpaid” tab of SellerCenter order section – the customer has not selected the payment option, so the order is not complete.

 

  1. What causes “Occupied Stock”?

Occupied stock is reserved stock. As far as we know, there are 2 cases:

#1 Scenario:

– Buyer adds a product to cart => proceed to payment screen

– On Payment screen, they do not proceed further action to place their order within 30 mins or close the payment screen

 

– For such orders, they will be displayed under Buyer’s Order with status “Payment pending”.

Within 30 mins, if the buyers do not finish remaining steps required, Lazada will set status of the order as “Cancelled”
However, for some orders, the status will remain “Unpaid” endlessly (we do not know when it is set to “Cancelled”). 

#2 Scenario:

– In some countries, there is a payment method like “Pay your order at 7-Eleven” https://www.thestar.com.my/tech/tech-news/2017/05/11/purchase-on-lazada-and-pay-cash-at-7-eleven-outlets/

– If buyers place an order using that option, the stock will be reserved for that order within a longer duration. After the given deadline, Lazada will set status of the order as “Cancelled” if the buyer does not make payment.

 

  1. How does “Occupied Stock” affect “Available Stock” on PowerSell?

This is Stock formula of Lazada SellerCenter:

Dropshipping Stock = Withholding Stock + Occupied Stock + Sellable Stock

This is Stock formula of PowerSell:

Physical Stock = Processing Stock + Campaign Stock + Safety Stock + Avalable stock

As you can see, orders which cause “Occupied Stock” are already selected payment methods but not yet completed. That is why items go to “Occupied Stock” but not “Pending Order”.

  • If items go to “Occupied Stock”, it makes change on “Sellable Stock” on Lazada SellerCenter.

  • However, because these orders are not “Pending Orders”, they do not increase the quantity of “Processing Stock” on PowerSell, which makes discrepancies between “Available Stock” on PowerSell and “Sellable Stock” on Lazada SellerCenter.

For Example:
On Lazada SellerCenter:
+ Dropshipping Stock: 2

+ Occupied Stock: -1

→ Sellable Stock = 1

On PowerSell:

+ Physical Stock: 2

+ Processing Stock: 0

→ Available Stock = 2

Lazada does not let PowerSell update “Sellable Stock” from “1” to “2” to avoid overselling.

  1. How to resolve the YELLOW WARNING ICON?

If “Occupied Stock” comes back to 0 (order status changes to “Cancelled”, or the buyer completes payment process), meaning the reserved stock is released, “Available Stock” on PowerSell will be the same with “Sellable Stock” on Lazada SellerCenter.
After that, PowerSell system will retry stock sync automatically, which helps to resolve the “Yellow Warning Icon”.
In other words:

  • If order status changes to “Cancelled”, Sellers have to do nothing, this warning icon will resolve itself.

  • If the buyer completes the payment process, this warning icon will be resolved after Sellers finish processing orders.
